Terms & Conditions
Conditions of access to and use of the website and services of FFYR Human Rights Council.

Introduction
These Terms & Conditions (“Terms”) govern your access to and use of the website
www.ffyrhrcgov.com and all pages, portals, forms and services made available
through it (collectively, the “Website”), operated by FFYR Human Rights Council
(“the Council”, “we”, “us” or “our”).
By accessing, browsing, registering on or otherwise using the Website, you confirm that you have
read, understood and agreed to be bound by these Terms and by the Privacy Policy set out in Part B.
If you do not agree with any part of these Terms, please discontinue use of the Website immediately.
These Terms take effect from 01 August 2026 and remain in force until modified
or replaced in accordance with Clause 12 (Amendments).

About the Organization
FFYR Human Rights Council is a non-profit organisation incorporated and registered under
Section 8 of the Companies Act, 2013, bearing Corporate Identity Number
U88900BR2026NPL085267. The Council works for the protection and promotion of human
rights, legal awareness, social justice, dignity and equality for every section of society.

The Council is a voluntary, non-governmental and non-political body. It is not a government
department, statutory commission or judicial authority, and it does not exercise any
governmental, police or judicial power.

Use of the Website
The Website is provided for information, awareness, membership administration and lawful
engagement with the Council. You agree to use the Website only for purposes permitted by these
Terms and by applicable Indian law.
You specifically agree that you will not:
- Use the Website for any unlawful, fraudulent, defamatory or harmful purpose.
- Impersonate any person, member, office-bearer or authority of the Council, or misrepresent your affiliation with it.
- Upload or transmit any virus, malware, harmful code or automated script intended to disrupt the Website.
- Attempt to gain unauthorised access to any portion of the Website, its servers, databases or administrative areas.
- Copy, scrape, harvest or systematically extract data, member records or content from the Website without written permission.
- Interfere with the security, availability or proper functioning of the Website or of any service offered through it.
- Post or circulate content that is obscene, hateful, communal, threatening, or that infringes the rights of any person.
We reserve the right to restrict, suspend or terminate access to the Website — in whole or in part,
and without prior notice — where we reasonably believe these Terms have been breached.

Membership, Volunteering and Registration
Applications for membership, volunteering or participation in the Council's programmes may be
submitted through the Website. Submission of an application does not by itself create membership
or any binding relationship with the Council.
- All applications are subject to verification, scrutiny and approval at the sole discretion of the Council.
- You must provide true, accurate, current and complete information, and keep it updated.
- Submission of false, forged or misleading information may lead to rejection of the application or cancellation of an existing membership without refund.
- Membership is personal and non-transferable. Membership identity cards, certificates and member IDs remain the property of the Council.
- You are responsible for maintaining the confidentiality of any credentials, application number or member ID issued to you, and for all activity carried out under them.
- The Council may suspend or cancel membership for conduct that is unlawful, or that brings the Council into disrepute, or that is contrary to its objects and code of conduct.
Membership of the Council does not confer any governmental authority, police power, judicial
standing, or immunity of any kind. Any misuse of Council identity documents is the sole
responsibility of the person concerned and may attract legal action.

Donations
Donations and contributions received by the Council are applied towards its charitable objects,
programmes and administrative requirements, in accordance with Section 8 of the Companies Act, 2013 and applicable law.
- All donations are voluntary and, unless otherwise required by law, are non-refundable.
- Donations must be made from lawful sources and from accounts lawfully held by the donor.
- Receipts are issued for donations received through recognised channels; donors should retain them for their records.
- Tax benefits, where available, are governed solely by the provisions of the Income Tax Act, 1961 and the certifications then held by the Council. We make no independent representation as to a donor's tax position.
- The Council does not solicit donations in cash through unauthorised persons. Please verify any collection drive with the head office before contributing.
Where a donation is made in error or a duplicate payment occurs, you may write to us at
headoffice@ffyrhrcgov.com and the matter will be considered on its merits.

Intellectual Property
All content on the Website — including the name FFYR Human Rights Council, its emblem,
logo, monogram, text, graphics, photographs, videos, documents, publications, page layouts,
design elements and software — is the property of the Council or of its licensors, and is
protected by the Copyright Act, 1957, the Trade Marks Act, 1999 and other applicable laws.
- You may view, download and print Website content for personal, non-commercial and informational use only.
- You may not reproduce, republish, distribute, modify, translate or commercially exploit any content without our prior written permission.
- The Council's name, emblem and logo may not be used on letterheads, identity cards, banners, social media or any material without written authorisation.
- Any permitted use must carry due attribution to FFYR Human Rights Council and must not suggest endorsement where none exists.
Unauthorised use of the Council's marks or content may result in civil and criminal proceedings.

User-Submitted Content
Where the Website permits you to submit complaints, messages, photographs, documents, comments or
other material (“User Content”), you remain responsible for that material.
- You warrant that you own the User Content or hold all rights necessary to submit it, and that it does not infringe the rights of any third party.
- You grant the Council a non-exclusive, royalty-free licence to store, reproduce and use the User Content for the purposes for which it was submitted, including case records, awareness material and reporting.
- User Content must be truthful and must not be defamatory, obscene, communal, threatening, or otherwise unlawful.
- We may review, edit, refuse to publish or remove any User Content at our discretion, without assigning a reason.
- We are not obliged to monitor User Content and do not endorse opinions expressed in it.
Submission of a complaint or grievance does not guarantee any particular action, outcome, remedy
or timeline. The Council acts within its capacity as a voluntary organisation.

Third-Party Links
The Website may contain links to external websites, portals, payment gateways, social media
platforms and resources operated by third parties. Such links are provided for convenience and
reference only.
- We do not control, endorse or assume responsibility for the content, products, services, accuracy or practices of any third-party site.
- Access to a linked site is entirely at your own risk and subject to that site's own terms and privacy policy.
- The presence of a link does not imply any association, sponsorship or partnership between the Council and the linked party unless expressly stated.
We recommend that you read the terms and privacy policies of every third-party website you visit.

The Website and its content are provided on an “as is” and “as available”
basis, without warranties of any kind, whether express or implied.

Limitation of Liability
To the fullest extent permitted by applicable law, the Council, its trustees, directors,
office-bearers, employees, volunteers and members shall not be liable for any direct, indirect,
incidental, special, consequential or punitive loss or damage arising out of or in connection with:
- Your access to, use of, or inability to use the Website;
- Any error, omission, inaccuracy or delay in the content published on the Website;
- Any unauthorised access to or alteration of your transmissions or data, notwithstanding our security measures;
- Any conduct or content of any third party on or linked from the Website;
- Any interruption, suspension, technical failure or discontinuation of the Website or any service.
Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or
limited under Indian law.

Indemnity
You agree to indemnify, defend and hold harmless FFYR Human Rights Council and its
trustees, directors, office-bearers, employees and volunteers from and against any claim,
demand, proceeding, loss, liability, damage, cost or expense (including reasonable legal fees)
arising out of or relating to:
- Your breach of these Terms or of the Privacy Policy;
- Your violation of any applicable law or of the rights of any third party;
- Any User Content submitted by you through the Website;
- Any misuse of the Council's name, emblem, membership documents or identity cards by you.
This indemnity survives the termination of your use of the Website or of your membership.

Amendments
The Council may revise, update or replace these Terms at any time to reflect changes in law,
in its programmes, or in the functioning of the Website. The revised Terms take effect from the
date they are published on the Website.
- The “Effective Date” shown at the top of this page indicates when the current version came into force.
- Material changes will, wherever practicable, be highlighted on the Website or notified to registered members.
- Continued use of the Website after publication of revised Terms constitutes your acceptance of them.
We encourage you to review this page periodically.

Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them, the Website, or
your membership — whether contractual or non-contractual — shall be governed by and construed in
accordance with the laws of India.
Subject to any statutory right, the courts and tribunals at
Bettiah, West Champaran, Bihar shall have exclusive jurisdiction over all such
disputes and claims.
Parties are encouraged to first attempt an amicable resolution by writing to the head office at
headoffice@ffyrhrcgov.com before initiating proceedings.

Privacy Policy
How FFYR Human Rights Council collects, uses, discloses and protects your personal information.

Introduction
FFYR Human Rights Council respects your privacy and is committed to protecting the
personal information entrusted to us by members, applicants, volunteers, donors, complainants and
visitors to the Website.
This Privacy Policy explains what information we collect, why we collect it, how we use and share
it, and the rights available to you. It should be read together with the Terms & Conditions
in Part A, of which it forms an integral part.
This Policy is issued in accordance with the Information Technology Act, 2000 and the rules made
under it, and with other applicable Indian data protection law. It is effective from
01 August 2026.

Information We Collect
We collect only such information as is necessary for the purposes described in this Policy.
Information you provide to us:
- Identity details — full name, parentage, date of birth, gender and photograph;
- Contact details — postal address, district, state, PIN code, mobile number and email address;
- Identification details submitted for membership verification, such as identity document numbers;
- Membership and volunteering details — designation applied for, area of work, qualifications and experience;
- Donation details, including the amount, mode and transaction reference of a contribution;
- Content of complaints, grievances, enquiries, feedback and correspondence sent to us;
- Documents and photographs uploaded through the Website's forms.
Information collected automatically:
- IP address, browser type and version, device and operating system information;
- Pages visited, date and time of access, referring page and time spent on the Website;
- Cookies and similar technologies, as described in Clause 6.
We do not collect payment card numbers, CVV, PIN or net-banking credentials on the Website. Any
online payment is processed by the payment gateway concerned under its own security standards.

How We Use Your Information
Your information is used only for legitimate organisational purposes, including to:
- Process, verify and decide applications for membership, volunteering and participation;
- Issue membership identity cards, certificates, member IDs and related documents;
- Enable verification of membership status through the Council's public verification portal;
- Communicate with you about your application, membership, programmes, events and notices;
- Receive, record and act upon complaints, grievances and requests for assistance;
- Acknowledge donations, issue receipts and maintain statutory books of account;
- Maintain internal records and comply with obligations under Section 8 of the Companies Act, 2013 and other laws;
- Improve the Website, its content, security and user experience;
- Prevent, detect and investigate fraud, impersonation, misuse of Council documents and unlawful activity.
We do not sell, rent or trade your personal information to any third party for
marketing or commercial gain.

Legal Basis and Consent
We process personal information on the basis of your consent, and where processing is necessary
for our legitimate organisational activities or for compliance with a legal obligation.
- By submitting a form on the Website, you consent to the collection and processing of the information you provide, for the purposes stated in Clause 3.
- Where information is collected under a statutory requirement, processing is carried out on that legal basis.
- Providing certain information is mandatory for membership processing; without it, an application cannot be evaluated.
- You may withdraw your consent at any time by writing to headoffice@ffyrhrcgov.com.
Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.
It may, however, prevent us from continuing to provide membership services, and the Council may
in such a case be unable to maintain or renew the membership concerned.

Disclosure of Information
We treat your information as confidential and disclose it only in the limited circumstances set
out below:
- Within the Council — to authorised office-bearers, staff and unit heads on a need-to-know basis for processing your application, membership or complaint;
- Service providers — to hosting providers, payment gateways, printing vendors and communication partners engaged by us, bound by confidentiality and permitted to use the data only for the assigned task;
- Public verification — limited membership particulars (such as name, photograph, member ID, designation and validity) may be displayed through the Council's membership verification portal so that a membership can be authenticated;
- Legal requirement — to courts, tribunals, police, regulatory bodies and government authorities where disclosure is required by law or by a valid order;
- Protection of rights — where disclosure is necessary to enforce our Terms, to prevent fraud or impersonation, or to protect the rights, safety or property of the Council or of any person.

Cookies
The Website uses cookies and similar technologies — small files stored on your device — to make
the Website function correctly and to understand how it is used.
- Essential cookies — required for session management, form submission, security and basic functionality;
- Preference cookies — remember choices such as your selected display language;
- Analytics cookies — help us understand aggregate traffic patterns so that we can improve the Website;
- Third-party cookies — may be set by embedded services such as translation, maps or video players, and are governed by those providers' own policies.
You may block or delete cookies through your browser settings. Please note that disabling
essential cookies may prevent parts of the Website — including membership forms — from working

We adopt reasonable security practices and procedures, proportionate to the nature of the
information held, to protect it against unauthorised access, alteration, disclosure, loss or
destruction. These include:
- Encrypted transmission of data over the Website using secure HTTPS connections;
- Restricted, role-based access to member records within the administrative panel;
- Protected credentials and audit logging of administrative activity;
- Access controls on uploaded documents and photographs;
- Periodic review of security configurations, backups and system updates.
No method of transmission or electronic storage is entirely secure. While we strive to protect
your information, we cannot guarantee absolute security, and any transmission of data to the
Website is at your own risk. If you become aware of a security concern, please write to us

Data Retention
We retain personal information only for as long as is necessary for the purpose for which it was
collected, or for such longer period as is required by law.
- Membership records are retained for the duration of the membership and for a reasonable period thereafter, to permit verification and to answer subsequent queries;
- Donation and financial records are retained for the periods prescribed under the Companies Act, 2013 and the Income Tax Act, 1961;
- Complaint and grievance records are retained for as long as the matter remains relevant or under consideration;
- Rejected or withdrawn applications are retained only for a limited period for audit purposes and are then deleted or anonymised;
- Website log data is retained for a short period for security and diagnostic purposes.
When information is no longer required, it is securely deleted, destroyed or anonymised.

Your Rights
Subject to applicable law, you have the following rights in respect of your personal information:
- Right of access — to ask what personal information about you we hold and how it is used;
- Right to correction — to have inaccurate or incomplete information rectified;
- Right to withdraw consent — to withdraw a consent previously given, subject to Clause 4;
- Right to erasure — to request deletion of information that is no longer required and that we are not obliged to retain;
- Right to object — to object to the use of your information for a particular purpose, such as promotional communication;
- Right to grievance redressal — to raise a complaint about the handling of your information.

identity before acting on a request, and will respond within a reasonable period.

Children's Privacy
The Website and its membership services are intended for persons aged 18 years and
above. We do not knowingly collect personal information from children without the
consent of a parent or lawful guardian.
- Where a programme of the Council involves minors, participation is permitted only with the written consent of a parent or lawful guardian;
- Photographs or details of minors are published only with such consent, and with due regard to the child's dignity and safety;
- If we learn that information relating to a child has been collected without valid consent, we will delete it promptly.
A parent or guardian who believes that a child has provided information to us may write to
headoffice@ffyrhrcgov.com and we will take appropriate action.

This Privacy Policy may be updated from time to time to reflect changes in our practices, in the
services offered through the Website, or in applicable law.
- The current version and its Effective Date are always shown on this page;
- Significant changes will, wherever practicable, be notified on the Website or communicated to registered members;
